MENA employers juggle dozens of expiring documents per employee — Emirates ID, Iqama, Qatar ID, Omani Resident Card, Egyptian national ID, work permits, residence visas, driver licenses, medical certificates, educational credentials. AttendUX stores them all per employee, tracks expiry dates, and alerts HR 30/60/90 days before expiry so renewals never get missed. Employees upload documents directly from the mobile app camera; HR reviews and approves from the web admin.
Built around how MENA teams actually manage this day-to-day.
Every employee has a single digital file — contracts, ID copies, residence/work-permit scans, driver license, medical certs, education credentials, offer letters, bank-account forms. Searchable, filterable, downloadable in one place.
Each document has an expiry date; HR gets alerts at 90, 60, 30 days before expiry. Critical for Emirates ID (3-year), Iqama (1-year), Qatar ID (varies), Omani RC (2-year), residence visas, work permits, medical fitness certs, driver licenses.
Employees upload documents straight from the mobile app camera — no scanning station, no email-back-and-forth. HR gets a notification, reviews the upload, approves or requests a better photo. Workflow runs in minutes, not days.
Admin sees all documents. HR Manager sees their assigned branches. Department Manager sees their team's basics only (no salary contracts). Employee sees only their own documents. Every access is logged.
Prebuilt categories: Identity, Residence/Visa, Medical, Educational, Contract, Driver License, Bank, Other. Custom categories supported. Filter by category to find "all Iqamas expiring this quarter" in one click.
Every document upload, approval, rejection, edit and download is logged with timestamp + user. Audit-ready for internal review, external audit, or Ministry of Labour inspection.
When HR creates an employee record, the system shows a checklist of documents to collect based on nationality + country of work — e.g., Egyptian in UAE needs Emirates ID + visa + passport + educational cert.
Employee opens AttendUX app → Documents tab → sees the checklist → taps "Upload" → takes photo of each document with phone camera. Can also upload PDFs if already digital.
HR gets a notification when a document is uploaded. Opens the admin panel, views the scan, sets the expiry date (for IDs, visas, permits, medical certs), categorizes, approves or requests a better scan.
Every document with an expiry date is on the alert timeline. 90 days before expiry, HR gets the first notification; 60 and 30 days follow. The employee also gets the alert in their app.
Employee renews the document (e.g., new Emirates ID after 3-year expiry), uploads the new scan, HR sets the new expiry, the old scan is archived with a version-link. Audit log preserves the full renewal history.
Unlimited. Every AttendUX plan includes employee document storage with no cap on documents per employee. Storage is included — no per-GB billing.
Camera photos (JPEG, HEIC), scanned PDFs, and standard image formats (PNG, GIF). Mobile app auto-compresses large photos. Max file size 15 MB per document.
Not currently. Documents are stored as uploaded with manual expiry-date entry by HR. OCR-based auto-extraction (reading Emirates ID expiry directly from the photo) is on the 2026 roadmap.
Not currently. Contracts can be uploaded as pre-signed PDFs, but there is no built-in e-signature flow (DocuSign-style). Integration with external e-signature providers is on the 2026 roadmap. Most customers pre-sign contracts externally and upload the final signed PDF.
Yes. Via the mobile app, employees can view and download any document in their own file — contracts, Iqama/Emirates ID copies, bank-form confirmations, educational cert scans. HR sees every access in the audit log.
All documents are encrypted at rest (AES-256), accessed via TLS 1.3 in transit, and scoped to the tenant (no cross-customer access). Role-based permissions govern who can view each document type. Full access audit log maintained.
